Your details on a quote or invoice

You are probably here because a tradesman sent you a quote or an invoice with PayReady's name on it, and you want to know who has your details.

The short answer is that he does. PayReady is only the app he used to write it.

The tradesman holds your details, not PayReady

He typed your details in. He decides what is kept and for how long. In data protection terms he is the controller of that information and PayReady is his processor, which means we hold it for him and act on his instructions.

We use it only to run the service for him. We do not sell it, we do not use it to advertise to you, and we do not add you to any mailing list.

What he holds

Your name, and whichever of these he entered when he wrote your quote or invoice:

  • Your phone number
  • Your email address
  • Your address

Alongside the job itself: what the work was, what it cost, and whether it has been paid.

He may also have your details elsewhere, in his phone or his email. This page only covers what is in PayReady.

Why he holds it

Two reasons.

The first is the job. He needs your name and address to write the quote properly, and a phone number or an email to send it to you.

The second is tax. Once he has invoiced you, that invoice is a business record and the tax office says he has to keep it. Six years in Ireland, five years in the UK. He does not get to choose.

This is why he cannot simply delete everything. The invoice has to stay. What he can do is take your personal details off it, so the money is still on record but you are not.

How to ask him

Contact him directly. His name, phone number and email are on the quote or invoice he sent you.

You can ask him to:

  • Give you a copy of everything he holds about you
  • Correct anything that is wrong
  • Remove your personal details from his records

PayReady gives him the tools to do all three. Under data protection law he has one month to reply to you.

If you cannot reach him

Email privacy@payready.app. Tell us the name of the business, and the quote or invoice number if you still have it, and we will pass your request on to him.

What we cannot do is delete his records for him. They are his business records, not ours. We only hold them on his behalf, and he is the one the tax office will ask if they go missing. Deleting them ourselves would mean destroying paperwork he is legally required to keep, so we will not do it.

If he does not respond to you at all, you can complain to the data protection regulator for your country. In Ireland that is the Data Protection Commission at dataprotection.ie. In the UK it is the Information Commissioner's Office at ico.org.uk.
